Cancellation Policy

1. Overview

This Cancellation Policy explains how you can cancel your Ventabill subscription, what happens to your account and data upon cancellation, and the conditions that apply. Ventabill is operated by Techvent Labs Global Private Limited.

By subscribing to any paid plan on Ventabill, you agree to the terms of this Cancellation Policy.

2. How to Cancel Your Subscription

You may cancel your Ventabill subscription at any time using either of the following methods:

  1. Self-service: Log in to your Ventabill account, navigate to Billing, and click "Cancel Plan". Follow the on-screen confirmation steps.
  2. Email request: Send an email to ventabill.support@gmail.com with the subject line: "Subscription Cancellation — [Your Registered Email]". Include your registered email address and the reason for cancellation. We will process the request within 2 business days.

3. When Cancellation Takes Effect

Monthly Plans

Cancellation takes effect at the end of your current billing period. You will retain full access to all paid features until that date. No further charges will be made after the cancellation is confirmed.

Annual Plans

Cancellation takes effect at the end of the annual subscription period. You will retain access to all paid features until the annual term expires. Please refer to our Refund Policy if you wish to request a refund in addition to cancelling.

Immediate Cancellation

If you request immediate cancellation (before the end of the billing period), access to paid features will be revoked immediately. No refund will be issued for the remaining days in the billing cycle, unless you qualify under our Refund Policy.

4. What Happens to Your Data

Upon cancellation of your subscription, your account will be downgraded to the free plan (if available) or placed in a read-only state. The following applies:

  • Your invoices, vendor records, and organization data will be retained for 90 days after cancellation.
  • After 90 days, your data may be permanently deleted from our servers.
  • You may export your data (invoices as PDFs, records as CSV) at any time before the 90-day window closes.
  • Active IRNs and e-Invoices already generated are unaffected — those records remain in the NIC IRP system independently.

If you wish to permanently delete your account and all associated data immediately, please contact us at ventabill.support@gmail.com.

5. Reactivating Your Subscription

You may reactivate your subscription at any time by visiting the Billing page and selecting a plan. If your account data was retained within the 90-day window, it will be fully restored upon reactivation. After the 90-day period, previously deleted data cannot be recovered.

6. Cancellation by Ventabill

Ventabill reserves the right to suspend or terminate your account without notice if you:

  • Violate our Terms of Service
  • Engage in fraudulent activity or misuse of the platform
  • Fail to pay subscription fees after the applicable grace period
  • Use the platform in a manner that harms other users or the integrity of the service

In the event of termination by Ventabill for cause, no refund will be issued. If termination is due to a service discontinuation on our part, we will provide at least 30 days' notice and a pro-rated refund for any unused prepaid period.

7. Payment Failures

If a scheduled subscription payment fails (e.g., due to an expired card or insufficient funds), Ventabill will attempt to retry the payment. If the payment remains unsuccessful after 3 retry attempts over 7 days, your account will be automatically downgraded and you will be notified by email. You can update your payment method from the Billing page to reactivate your plan.

8. Changes to This Policy

We reserve the right to modify this Cancellation Policy at any time. Material changes will be communicated via email or an in-app notification at least 14 days before taking effect. Continued use of Ventabill after the effective date constitutes acceptance of the updated policy.
