Account Information

• Name, email address, and password when you register
• Business name, GSTIN, and contact details for your organization
• Profile photo (optional)

Business Data

• Invoice data: line items, amounts, tax details, due dates
• Vendor and client information you add to the platform
• Bank account details for inclusion on invoices

WhatsApp Data

• Your WhatsApp phone number when you interact with our WhatsApp bot
• Messages you send to the bot (used solely to process your requests)

Usage Data

• Log data: IP address, browser type, pages visited, timestamps
• Device information and operating system

Activity Logs

We record actions you perform within the app — such as creating invoices, adding vendors, and logging in — along with your IP address and a timestamp. These logs are retained for 90 days and are accessible only to Ventabill administrators for support, security monitoring, and platform improvement purposes. We do not log the content of your invoices (amounts, line items, or customer details) — only the type of action performed.

• To send WhatsApp reminders and notifications via our bot (powered by Twilio)
• To process subscription payments via Razorpay
• To authenticate you via Google OAuth (if you choose Google Sign-In)
• To send transactional emails (invoice delivery, password reset, invite links) via SMTP
• To improve our platform through aggregated, anonymized usage analytics
• To comply with legal obligations, including GST regulations in India

Our WhatsApp bot is powered by Twilio. When you message our WhatsApp number, your phone number and message content are processed by Twilio to deliver our service. We use this data only to respond to your requests — we do not use WhatsApp messages for marketing without your explicit consent.

Message and data rates from your mobile carrier may apply. You can opt out of WhatsApp notifications at any time by messaging "STOP" to our WhatsApp number.

We use the following third-party services, each governed by their own privacy policies:

• Twilio — WhatsApp messaging and SMS delivery
• Razorpay — Subscription billing and payment processing
• Google OAuth — Optional sign-in with your Google account
• Google Gemini / OpenRouter — AI-powered invoice parsing (no personally identifiable invoice data is retained by these services)

We do not sell your personal information to any third party.

We retain your account and invoice data for as long as your account is active or as needed to provide services. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or tax compliance purposes.

We protect your data using industry-standard security measures including:

• TLS/HTTPS encryption for all data in transit
• Encrypted passwords (bcrypt hashing — plaintext passwords are never stored)
• Access controls ensuring your data is isolated from other accounts
• Regular security reviews

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

• Access — request a copy of the personal data we hold about you
• Correction — update inaccurate or incomplete information via your profile settings
